Order Management Coordinator

Position Overview

As an Order Management Coordinator within the Projects team, you will be the critical link between sales, project delivery, and our clients. You will own the end-to-end order lifecycle, ensuring all project-related orders are processed accurately, tracked efficiently, and delivered on time. This role is perfect for someone who loves organisation, solving logistical puzzles, and wants to be part of a collaborative team.

Responsibilities

Order Processing & Accuracy: Process incoming project orders with a high degree of accuracy, ensuring all specifications, pricing, and delivery requirements are clearly captured in our systems.

Lifecycle Management: Own the order from initiation through to delivery and final reconciliation, proactively monitoring status and resolving blockers to keep projects on schedule.

Cross-Functional Collaboration: Work closely with Project Managers, Sales, Finance, Procurement and Operations to ensure seamless handoffs. Communicate order status updates clearly to internal stakeholders, 3rd parties and external clients.

Issue Resolution: Troubleshoot and resolve order discrepancies, delivery delays, or supplier issues with poise and a solutions-oriented mindset.

Process Improvement: Identify opportunities to streamline order management workflows within the projects team and implement best practices to improve efficiency.

Documentation & Reporting: Maintain clean, up-to-date records in our systems and provide regular reports on order status, backlog, and fulfilment metrics.

Offboarding process: You will own the offboarding process from initiation to offboard working with 3rd parties and internal teams to ensure a seamless transition.

Collaboration with Project Coordinator: Working alongside the PC to gain insight into project delivery and assist where necessary.

Requirements

  • 2+ years of experience in order management, order operations, or a similar role within a project-based environment.
  • Impeccable attention to detail,you catch what others miss.
  • Strong organisational skills with the ability to manage multiple orders and priorities simultaneously.
  • Excellent communication skills, both written and verbal, with a client-friendly approach.
  • A proactive, "no-surprises" mindset, you anticipate issues before they become problems.
