Your new role As an Administrator & Documents Controller, you will play a key role in supporting property maintenance operations, ensuring accurate documentation and smooth coordination of activities. Key responsibilities include:
- Processing quotes, delivery notes and invoices, ensuring correct coding
- Maintaining accurate records of all maintenance activities
- Coordinating and scheduling statutory maintenance to ensure compliance
- Liaising with suppliers and subcontractors, building strong relationships
- Supporting operatives with accurate job recording
- Assisting in improving systems, processes, and reporting for senior management
This is a full-time role based in near Paisley (34.5 hours per week).
What you'll need to succeed- Previous experience in an administrative or office-based role
- Strong organisational and multitasking abilities
- Confident communication skills, both written and verbal
- Proficiency in Microsoft Office (Word, Excel)
- High attention to detail and ability to manage records and schedules
Desirable:
- Experience in facilities management, construction, or property maintenance
- Knowledge of Health & Safety regulations
- Exposure to KPI reporting
- Full UK driving licence
