Payroll/Finance Assistant

The Role

We are seeking a dedicated and organised Payroll/Finance Assistant to join our finance department. This role is essential for maintaining the smooth operation of our staff pay cycles and necessary financial tasks. You will work closely with colleagues within administration, HR, Care and Education to ensure accuracy and provide a high level of service to our dedicated staff teams

Key Responsibilities

Collaborative Processing: Lead payroll processing to ensure seamless monthly operations.

Expert Knowledge: Up to date knowledge of auto enrolment

Data Management: Accurately collate and process timesheets, overtime sheets, sickness records, new starters, leavers, P45, P60, pensions, auto enrolments, student loans, earnings arrestment’s, SSP etc ensuring all hours and adjustments are captured correctly and efficiently.

Reporting & Deadlines: Assist with payroll and finance reporting and ensure all internal and statutory deadlines are consistently met.

Staff Support: Act as the first point of contact for all queries, providing clear and helpful information to staff.

Cash Management: Undertaking cash counting and maintaining accurate cash records. Managing petty cash, ensuring appropriate controls, reconciliations and documentation are maintained.

Compliance: Maintain up-to-date knowledge of PAYE, National Insurance, and Scottish tax codes.

Record Keeping: Manage sensitive employee data with total confidentiality and in line with GDPR requirements.

Fiscal Responsibility: Keeping our financial filing systems organised, accurate, and audit-ready

Credit Card Management: Administering the corporate credit card processes.

Assist with finance administration duties as required

What We’re Looking For

Essentials

Experience: Proven experience in a payroll or finance-support role.

Technical Accuracy: Strong numerical skills and the ability to process high volumes of data without errors.

Communication: A friendly, professional manner when dealing with staff queries

Organisational Skills: The ability to prioritize tasks and remain calm under the pressure of deadlines.

Systems Knowledge: Proficiency in Excel and specialised payroll software.

Requirements

Understanding of Scottish payroll legislation and SPF and SPPA pension schemes

Successful applicants will be required to join or update their Protection of Vulnerable Groups (PVG) Scheme membership.

You will undertake a PVG Disclosure check with Disclosure Scotland if successfully offered the position. The purpose of this is to exclude individuals who would not be suitable for working with children and young people. The PVG Disclosure includes both spent and unspent convictions as well as non-conviction information which a Chief Constable may choose to disclose, which he/she feels is relevant to the job sought. In addition, the PVG Disclosure will identify if individuals are on the ‘disqualified from working with children list’ (Protection of children (Scotland) Act 2003). The disclosure of a criminal conviction will not debar you from appointment unless the selection panel considers that the conviction renders you unsuitable for appointment
