We are seeking an experienced and highly organised Attendance & Admissions Officer to join a welcoming and well-established primary school in Bexley, London . This is an important role within the school's administrative and pastoral structure, combining accurate attendance administration with responsibility for supporting admissions processes and maintaining effective communication with families.

The successful candidate will be someone who understands the importance of regular school attendance and can approach attendance matters professionally, sensitively and consistently. You will work closely with school leaders, teachers, parents and carers to identify attendance concerns, maintain accurate records and ensure appropriate follow-up takes place.

Alongside attendance responsibilities, the role will involve supporting admissions administration and ensuring that relevant student information is recorded accurately. This requires excellent organisation, strong attention to detail and the confidence to communicate with families from a wide range of backgrounds.

Attendance & Admissions Team

The attendance and admissions function works closely with the school's senior leadership, pastoral and administrative teams. The successful candidate will play a key role in ensuring that attendance information is accurate, concerns are identified promptly and communication with families is consistent.

You will be expected to monitor daily attendance, investigate unexplained absences and maintain appropriate records. Where attendance becomes a concern, you will support the school in following its established procedures and communicating appropriately with parents and carers.

The admissions element of the role will involve maintaining accurate pupil information, supporting new admissions and ensuring that relevant documentation is processed and recorded correctly.

Key Responsibilities

  • Monitoring pupil attendance on a daily basis.

  • Ensuring attendance registers and related information are accurate and up to date.

  • Following up unexplained absences promptly.

  • Contacting parents and carers regarding attendance concerns.

  • Maintaining clear and accurate attendance records.

  • Identifying emerging attendance patterns and bringing concerns to the attention of appropriate staff.

  • Preparing attendance information and reports for school leaders.

  • Supporting the school in implementing its attendance procedures.

  • Liaising with pastoral and senior leadership teams regarding persistent or concerning absence.

  • Maintaining professional and constructive relationships with parents and carers.

  • Recording communications and actions relating to attendance.

  • Supporting meetings with parents where attendance is being discussed.

  • Maintaining confidentiality when dealing with sensitive family information.

  • Supporting the admissions process for new pupils.

  • Processing admissions documentation accurately.

  • Maintaining pupil records and ensuring information is updated appropriately.

  • Liaising with parents and carers regarding admission arrangements.

  • Supporting the organisation of new pupil information and documentation.

  • Working with relevant colleagues to ensure admissions information is complete.

  • Assisting with transfers and leavers' administration where required.

  • Responding professionally to telephone calls, emails and enquiries.

  • Providing general administrative support to the school office when required.

  • Following school procedures relating to safeguarding, data protection and confidentiality.

Experience and Requirements

The school is looking for an organised and confident administrator with experience of working in a busy office environment. Previous experience in school attendance, admissions, education administration or a similar role would be highly desirable.

The successful candidate should understand the importance of accuracy when working with pupil records and attendance information. You will need to be comfortable handling confidential information and communicating appropriately with parents and carers.

Strong communication skills are essential. Attendance conversations can sometimes be sensitive, so the successful candidate must be able to remain professional and calm while being clear about the school's expectations.

The ideal candidate will demonstrate:

  • Previous administrative experience.

  • Experience working with attendance or admissions would be advantageous.

Safeguarding

The school places safeguarding at the centre of its work and expects every member of staff to contribute to maintaining a safe environment for children.

The successful applicant will be required to complete all appropriate safeguarding and pre-employment checks, including an enhanced DBS check and satisfactory references.
