This is an important role within the school's administration and leadership structure, responsible for maintaining the accuracy, integrity and effective use of student and school data.

The successful candidate will be responsible for ensuring that key information is recorded accurately and made available to staff when required. You will work closely with senior leaders, teaching staff, pastoral teams and administrative colleagues, supporting the school to use reliable information to monitor student progress, attendance and wider outcomes.

This position would suit an individual who enjoys working with data, systems and processes and who is comfortable managing large volumes of information. Excellent attention to detail is essential, as is the ability to work methodically while responding effectively to changing deadlines.

School Information

This is a well-established secondary school in Cambridge with a strong academic focus and a clear commitment to supporting students to achieve their potential. The school combines high expectations with a broad programme of personal development, ensuring that students are prepared for their next steps beyond school.

Accurate data is an important part of the school's approach to monitoring achievement, attendance, behaviour and progress. The successful Data Manager will therefore play a significant role in ensuring that staff have access to accurate and timely information.

Data and Administration Team

The Data Manager will take responsibility for the effective management of key school information systems and processes. You will need to understand the importance of data accuracy and confidentiality while ensuring information is accessible to authorised staff.

The role will involve maintaining student records, supporting reporting cycles, preparing information and assisting with data-related deadlines throughout the academic year.

You will also be expected to identify discrepancies and resolve issues where possible, escalating more complex matters appropriately.

Key Responsibilities

  • Managing and maintaining accurate student and school data.

  • Ensuring information systems are kept up to date.

  • Maintaining student records and relevant administrative information.

  • Checking data for accuracy and resolving discrepancies.

  • Producing reports for senior leaders and relevant school teams.

  • Supporting staff with access to appropriate data and information.

  • Maintaining attendance-related data where required.

  • Supporting the monitoring of behaviour and pastoral information.

  • Assisting with examination and assessment data processes.

  • Preparing information for meetings and internal reviews.

  • Maintaining appropriate records and audit trails.

  • Supporting data returns and statutory information requirements.

  • Liaising with staff to ensure information is submitted accurately and on time.

  • Providing guidance to colleagues on data procedures where appropriate.

  • Identifying inconsistencies and following up with relevant staff.

  • Supporting the development and improvement of data processes.

  • Ensuring information is handled securely and confidentially.

  • Maintaining appropriate filing and electronic storage systems.

  • Supporting senior leaders with data requests.

  • Assisting with timetable, curriculum or student information processes where required.

  • Monitoring deadlines and ensuring key data tasks are completed promptly.

  • Supporting the wider administration team during busy periods.

  • Following school procedures relating to data protection and confidentiality.

Experience and Requirements

The ideal candidate will have previous experience working with data, databases, school information systems or complex administrative records. Previous experience within a school environment would be advantageous.

Strong attention to detail is essential. The successful candidate will need to identify errors quickly and understand the importance of maintaining accurate information.

You should also be confident using IT systems and comfortable working with spreadsheets, databases and reports. The ability to learn new systems is important, as schools use a range of specialist software.

The successful candidate will ideally have:

  • Previous data management or administration experience.

  • Experience working with databases or information systems.

  • Strong Excel and Microsoft Office skills.

  • Understanding of confidentiality and data protection.

  • A methodical and accurate approach.

  • Ability to remain calm when working to tight deadlines.
