What you'll do at work
Summary of Role:
- To provide a need led service to adults by adopting a person-centred approach that fosters self-awareness, personal growth and gives each person the strongest voice with regards to decision making and lifestyle choices
- Implement actions to meet and maintain administrative and financial standards
- Assist the development of the philosophy, goals and objectives for the administrative and financial practice

Duties and Responsibilities:
- Any admin assistance required by the Director/Deputy Manager
- Systematically solve day-to-day problematical issues which arise
- Record and report daily concerns accordingly
- Audit records to ensure compliant with Specialist Care Services policies and ensure that Service Users’ rights are protected
- To maintain confidentiality in accordance with the company’s policy on confidentiality
- To maintain accurate records that are clear, up to date and appropriate
- Provide office cover when required
- Managing and supporting workers so they can perform their roles safely and to the best of their ability
- Supporting your manager to run your workplace according to standards and legislation
- Acting as a positive role model to colleagues
- Working in partnership with other professionals to ensure individuals get the support they need
- Promote a positive image for the people and employees of Specialist Care Services

Health and Safety:
- To be familiar with the Company’s obligations under the Health and Safety at Work Act 1974 and the other Health and Safety Regulations detailed in the Company’s Health and Safety Policies
- To monitor risk assessments to ensure they are up to date and relevant
- To keep the Deputy Manager/Director informed of any outcomes or issues concerning Health and Safety
- To contribute to the safe working environment for Care Workers and Service Users by immediately reporting any unsafe practice or hazard
- To report accidents/incidents to Management
- To attend training and update training when required
Quality Control:
- To assist the Deputy Manager/Director in the implementation and promotion of the monitoring and quality control processes under the Company’s Quality Monitoring Policy
- To present the company in a professional way at all times and to behave in an approachable manner that gives confidence
Administration:
- To complete all relevant paperwork in accordance with company policy and procedure
- You will be required to work flexibly on a rota basis to meet the needs of the service, this includes weekends and bank holidays
- Ensure work is recorded accurately and appropriately in compliance with the company requirements and that records made, and personal information used are in compliance with the Data Protection Act and the standards of information governance

What you'll learn
Course contents- Skilled in the use of multiple IT packages and systems relevant to the organisation in order to: write letters or emails, create proposals, perform financial processes, record and analyse data. Examples include MS Office or equivalent packages. Able to choose the most appropriate IT solution to suit the business problem. Able to update and review databases, record information and produce data analysis where required.
- Produces accurate records and documents including: emails, letters, files, payments, reports and proposals. Makes recommendations for improvements and present solutions to management. Drafts correspondence, writes reports and able to review others' work. Maintains records and files, handles confidential information in compliance with the organisation's procedures. Coaches others in the processes required to complete these tasks.
- Exercises proactivity and good judgement. Makes effective decisions based on sound reasoning and is able to deal with challenges in a mature way. Seeks advice of more experienced team members when appropriate.
- Builds and maintains positive relationships within their own team and across the organisation. Demonstrates ability to influence and challenge appropriately. Becomes a role model to peers and team members, developing coaching skills as they gain area knowledge.
- Demonstrates good communication skills, whether face-to-face, on the telephone, in writing or on digital platforms. Uses the most appropriate channels to communicate effectively. Demonstrates agility and confidence in communications, carrying authority appropriately. Understands and applies social media solutions appropriately. Answers questions from inside and outside of the organisation, representing the organisation or department.
- Completes tasks to a high standard. Demonstrates the necessary level of expertise required to complete tasks and applies themself to continuously improve their work. Is able to review processes autonomously and make suggestions for improvements. Shares administrative best-practice across the organisation e.g. coaches others to perform tasks correctly. Applies problem-solving skills to resolve challenging or complex complaints and is a key point of contact for addressing issues.
- Takes responsibility for initiating and completing tasks, manages priorities and time in order to successfully meet deadlines. Positively manages the expectations of colleagues at all levels and sets a positive example for others in the workplace. Makes suggestions for improvements to working practice, showing understanding of implications beyond the immediate environment (e.g. impact on clients, suppliers, other parts of the organisation). Manages resources e.g. equipment or facilities. Organises meetings and events, takes minutes during meetings and creates action logs as appropriate. Takes responsibility for logistics e.g. travel and accommodation.
- Uses relevant project management principles and tools to scope, plan, monitor and report. Plans required resources to successfully deliver projects. Undertakes and leads projects as and when required.

Mandatory Online training:
Data Protection and GDPR, Online Safety, Dignity and Respect, Effective Communication, Emergency First Aid at Work, Equality and Diversity, Fire safety, Health and Safety, Health and Well-being, Mental Capacity Act, Reporting and Record Writing, Safeguarding Adults, Complaints Handling, COSHH, Information Governance, Oliver McGowan Training, Personal and professional Boundaries, Risk assessment and management, Supervision, Appraisal and Managing staff.
Apprentices will be required to attend college at least x1 day per week either at Uxbridge, Harrow or Hayes Campus completing necessary mandatory training and units associated with the apprenticeship.
The apprentice will be required to complete:

- Standard and End Point Assessment
- Functional Skills in English, maths, and ICT (if required)
