Legal Administrator, Cayman Islands
Our client, a prestigious offshore legal firm with an international footprint, is seeking a highly organized and proactive Legal Administrator to join their central support team in the Cayman Islands.
Known for their pragmatic approach and inventive legal solutions, this firm has played a foundational role in defining the modern offshore legal sector. This is an exceptional opportunity to embed yourself within a sophisticated professional services environment, working side by side with fee earners to streamline non-revenue-generating administrative tasks and contribute to the smooth, day-to-day operations of a dynamic office.
The successful candidate will provide comprehensive operational and secretarial support, handling a diverse range of duties:
• Executive Support & Coordination: Manage emails, messages, diaries, appointments, and meeting coordination for fee earners. Arrange all practical aspects of client meetings, conference calls, and coordinate off-island travel schedules.
• Data & System Management: Input meetings, events, and client information into the CRM system; maintain accurate contact records and manage matter lifecycle data, including new matter openings and drafting engagement letters.
• Document Production: Prepare, format, proofread, and convert legal documents, reports, and PowerPoint presentations with a high degree of accuracy. Manage printing, scanning, court filings, bundling, and document completion.
• Financial Administration: Liaise with the Finance department regarding billing processes, WIP, expense claims, time entries, and third-party payments.
• Office Operations: Work collaboratively with the wider support team to provide reception cover, manage post/couriers, process DocuSign requests, and handle legal research or company searches as required. Qualifications, Skills & Experience
• Education: Ideally a graduate, or at least educated to High School level with strong academic grades. An administrative or secretarial qualification is highly advantageous.
• Experience: Prior experience within a professional services firm—ideally a legal environment—is preferred but not essential.
• Technical Proficiency: Confident and competent IT user with sound working knowledge of MS Office (Word, Excel, PowerPoint, and Outlook). Experience with Document Management Systems (DMS) is a plus.
• Key Attributes: Excellent typing and formatting skills, robust organizational capabilities, and a proven ability to multitask under pressure.
• Core Competencies: A calm, proactive approach to deadlines, strong communicative skills, and an adaptive team spirit with a willingness to undertake continuous professional development (CPD).
