Assistant Project Manager

Job Introduction


The role

Carlisle Support Services is looking for an Assistant Project Manager who will support the successful planning, coordination and delivery of Hard FM and construction projects across Carlisle Support Services' national portfolio. Working alongside experienced Project Managers and the Hard Services Delivery Manager, the postholder will assist in ensuring projects are delivered safely, on time, within budget and in full compliance with client requirements, company procedures and relevant legislation. This role is ideal for an ambitious individual looking to develop a career in project management within facilities management, construction and infrastructure environments.

Your core role will include but not be limited to the following activities:

• Support the planning, mobilisation and delivery of multiple Hard FM and minor works projects.
• Assist in developing project programmes, schedules and resource plans.
• Monitor project progress and provide regular updates to senior management.
• Coordinate site activities to ensure projects remain on schedule and within budget.
• Maintain accurate project documentation, including project plans, reports and records.
• Work closely with operational teams, engineers, supervisors and subcontractors to ensure efficient project delivery.
• Attend project meetings and record actions, ensuring follow-up and completion.
• Support the procurement of materials, equipment and subcontractor services.
• Assist with project handovers and close-out documentation.
• Promote a positive health and safety culture across all projects.
• Support the preparation of Risk Assessments and Method Statements (RAMS).
• Report any safety concerns, incidents or near misses promptly.
• Build positive working relationships with clients and stakeholders.
• Provide professional communication regarding project progress.
• Support the resolution of client queries and project issues.
• Assist in monitoring project costs and budgets.
• Support the preparation of quotations, variations and purchase orders.
• Maintain accurate financial and project records.
• Identify opportunities to improve efficiency and reduce project costs.
• Contribute ideas to improve project delivery processes.
• Support the implementation of new systems and digital tools.
• Participate in lessons learned reviews following project completion.

The ideal candidate

Essential

• Good understanding of project planning, scheduling and coordination principles.
• Experience liaising with clients, suppliers, subcontractors and operational teams.
• Strong organisational skills with the ability to prioritise workloads and meet deadlines.
• Experience maintaining accurate project documentation and reports.
• Good commercial awareness with an understanding of project costs and budgets.
• Ability to work independently while also contributing effectively within a team.
• Full UK Driving Licence and willingness to travel to sites across the UK.
• Previous experience in a Project Coordinator, Project Administrator, Junior Project
• Manager or similar role within Facilities Management, Construction, Engineering or Building Services.
• Experience supporting the delivery of multiple projects or workstreams simultaneously.
• PRINCE2 Foundation, APM Project Fundamentals Qualification (PFQ), or working towards a recognised Project Management qualification.

Desirable

• Project management qualification such as PRINCE2 Foundation or APM Project
• Fundamentals.
• IOSH Working Safely or equivalent.
• Experience working within Hard FM or building maintenance.
• Knowledge of CDM Regulations.
• Experience using project management software.
• Experience within Hard Facilities Management, Mechanical & Electrical (M&E),
• Construction, Rail or Infrastructure sectors.
• IOSH Working Safely or IOSH Managing Safely qualification.
