Project Support Officer

Our Client has a requirement for a Project Support Officer , who will be required to work on a contract basis in Helensburgh.

Role Purpose

  • Provide project support and administrative governance across a busy project integration environment.
  • Act as the focal point for document control, reporting coordination, stakeholder engagement, and project administration.
  • Support Project Managers and integration teams to ensure project outputs are delivered in line with organisational processes and project management methodologies.
  • Maintain effective control of project documentation, actions, decisions, risks, and reporting activities.

Job Role Responsibilities

  • Manage high-volume document control activities through Microsoft Teams and SharePoint, including the receipt, circulation, tracking, and management of project documentation.
  • Coordinate weekly and monthly reporting cycles across multiple reporting templates and support the development of project dashboards and trackers.
  • Attend governance meetings and produce Records of Actions and Decisions (RoADs), ensuring timely follow-up and closure of actions.
  • Maintain project action, decision, and information trackers, ensuring accuracy and compliance with established procedures.
  • Administer SharePoint and Teams sites, ensuring document controls, naming conventions, and file structures comply with JSP 441 requirements.
  • Manage the departmental mailbox and coordinate responses to internal and external communications.
  • Build and maintain effective relationships with project teams, stakeholders, and industry partners.
  • Represent the department at working groups and stakeholder meetings where required.
  • Support integration team outputs and ensure project administration activities align with recognised project management methodologies.

Experience / Skills / Knowledge / Qualifications

  • Previous experience as a Project Support Officer, Project Coordinator, PMO Support, Project Administrator, or within a similar project support role.
  • Experience working within a project delivery or project management environment.
  • Strong ability to work independently, manage competing priorities, and use initiative with minimal supervision.
  • Advanced Microsoft 365 skills, including SharePoint, Teams, PowerPoint, and MS Project.
  • Experience operating at a level equivalent to Civil Service Executive Officer (EO) grade.
  • Excellent organisational, communication, and stakeholder management skills.
  • Understanding of project controls, including risk, schedule, action, and decision management.
  • Knowledge of MSP (Managing Successful Programmes) and/or MoP (Management of Portfolios) would be advantageous.
  • Experience within defence, engineering, government, or other highly regulated environments would be beneficial.

Essential Requirements

  • Candidates must be local to site or able to reliably commute to site 2-4 days per week.
  • Applicants must be Sole British Nationals.
  • Candidates must be eligible and willing to obtain SC (Security Check) Clearance.
  • Candidates should be able to work autonomously and confidently within a fast-paced project environment.
