Deputy Centre Manager SITE: All sites (at least 2 days at Hemel Hempsread) REPORTS TO: Colindale Centre Manager LINE MANAGEMENT: Learning Support Assistant/Apprentice Administrator HOURS OF WORK: 35 hours per week SALARY BAND: £ 34,000 - £39,000 per annum (based on skills, experience and scale of responsibility)
OVERALL, PURPOSE OF JOB:
The post holder will support the Centre Manager in the day to day running of the specified First Rung centre (or centres) and all the activities that take place within them. Key areas of responsibility include:- Deputising for the Centre Manager in his/her absence
- Overseeing all aspects and stages of the learner journey
- Supporting the coordination and oversight of the provision delivery within the centre
- Learner recruitment and onboarding
- Provision of pastoral and welfare support to learners
- Provision of careers advice and guidance to learners
- Supporting coordination of SEND provision within the centre.
- Responsible for safeguarding, learner wellbeing and pastoral support within the centre.
- Carrying out health and safety and risk assessments within the centre.
- Generation of learner documentation
- Support the First Rung Quality agenda.
- Promotion of First Rung’s provision within the geographic area served by the centre.
- Responsible for administrative and data recording within the centre.
- Work collaboratively with the Recruitment team to ensure the effective referral of candidates to interview.
- Coordinate and carry out all aspects of the recruitment process including candidate interviews, initial assessment and provision of advice and guidance, ensuring candidate eligibility and suitability.
- Coordinate and carry out the induction and enrolment of learners to their programmes.
- Coordinate and complete initial assessment summaries and individual learning plans ensuring that learners are working towards the appropriate level and are receiving the required amount of support.
- Support the Centre manager in overseeing the delivery of all timetabled provision within the centre
- In the absence of the Centre Manager, work collaboratively with the Head of Quality and the Head of Operations to ensure that sessions are covered when a tutor/assessor is absent.
- Ensure that the specific needs and support requirements of SEND candidates are disseminated to delivery and support staff and that support specified in the EHCP is being provided (EHCPs)
- Ensure that all information relating initial assessment summaries, individual learning plans and learner needs and target levels is uploaded to the Arbor management information system and shared with delivery staff.
- Oversee the progress of learners towards their programme targets intervening with delivery and employer engagement staff to address any concerns in regard to retention or timely completion.
- Provide pastoral, social and welfare support to learners within he centre who need it
- Provide Careers Advice and Guidance to leaners
- Provide progression planning support to learners.
- Supervise the centre learning support assistants (LSAs) and support them in ensuring that delivery staff are adapting their teaching and assessment strategies to comply with EHCP recommendations and meet he needs of individual learners.
- Supervise the centres learner and progression advisers and support tin providing advice, guidance, pastoral and welfare support to vulnerable and challenging learners.
- Respond immediately to reported safeguarding concerns with the centre and deal with them appropriately ensuring they are logged on My Concern
- Promote the welfare and wellbeing of learners attached to the centre working collaboratively with statutory agencies, parents/carers and other stakeholders.
- Ensure the accurate and timely processing of all administrative tasks including start and finish documentation, the maintenance of learner files, and the archiving of old files.
- Record and update key learner data regarding to programme start, achievement, completion and progression.
- Work collaboratively with the MI/Data team to generate accurate learner data.
- Monitor learner attendance, timekeeping and retention, intervening with parents/carers where necessary to address issues of concern.
- Carry out learner discipline and dismissal procedure across all programmes.
- Process prompt and accurate learner bursary payments in line with the Bursary Policy.
- Support the First Rung policy agenda through effective monitoring of attendance, retention, achievement and progression and early intervention to deal with any identified issues.
- Monitor learner progression onto work placements liaising with the Employment Engagement team.
- Promote the safeguarding of learners and work collaboratively with colleagues and stakeholders to promote their welfare and wellbeing.
- Follow organisation policies and procedures in responding to safeguarding and Prevent concerns.
- Review learner attendance, achievement and progression data taking remedial action where necessary.
- Comply fully with GDPR and data protection requirements.
- Deputise for the Centre Manager in his/her absence
- Comply with, and implement, First Rung’s Health and Safety policies and procedures.
- Take lead responsibility for health and safety in relation to the centre taking prompt remedial action where necessary.
- Undertake full risk assessments of the centre on a regular basis and of all internal and external activities carried out by the centre.
- Comply, and implement, First Rung’s Safeguarding policy and procedures.
- Report and act on any centre repairs and maintenance and general upkeep.
- Play an active role in all First Rung’s marketing and promotional image including PR materials and attending marketing events.
- An enhanced Disclosure and Barring Service (DBS) check, including a check of the barred lists where applicable
- Verification of identity, right to work in the UK, and relevant qualifications
- Professional references, including at least one from a current or most recent employer
- Online searches carried out as part of due diligence on shortlisted candidates, in line with KCSIE (2025)
