Role : Project Coordinator (LocalTech Project: AI skills development in construction)
Salary: Grade 6 - £31,236 - £36,636 per annum (pro rata)
Contract Type: Part-Time (7 hours per week/ 0.2 FTE), Fixed Term for 24 months

About our Team
The School of Energy, Geoscience, Infrastructure and Society (EGIS) at Heriot-Watt University is leading the Innovate UK funded project, Developing AI professional capability in the construction workforce through graduate apprenticeships.
The project responds to the growing need for applied artificial intelligence capabilities across Scotland’s construction and built-environment workforce. It will build upon Heriot-Watt University’s existing BSc (Hons) Construction and the Built Environment Graduate Apprenticeship programme, combining academic learning with employer-based implementation activities.
Detailed Description
The successful candidate will work closely with the Project Lead and Industry Lead partners to support with the coordination and promotion of knowledge exchange and co-creation activities during the project.
A central part of the role will be engagement with employers and wider industry stakeholders. The postholder will coordinate the project’s Industry Stakeholder Steering Group and support employer consultations, curriculum co-design activities, workshops, dissemination events and other knowledge-exchange activities. The postholder will also assist with monitoring and evaluating project outcomes. This will include collating evidence relating to curriculum co-design, employer engagement, learner participation, workplace AI projects, and sector dissemination.
Key Duties & Responsibilities
The successful candidate will be expected to:
- Organise and support with the delivery of quarterly meetings of the Industry Stakeholder Steering Group, including preparing agendas and papers, recording actions and following up with members.
- Coordinate employer workshops, consultation meetings, curriculum co-design sessions and other industry-engagement activities.
- Maintain regular communication with the existing GA employer network and identify suitable opportunities and channels to broaden employer participation in the project.
- Liaise closely with the GA Business Development team, participating employers, industry project partners and relevant University teams.
- Gather structured information and feedback from employers on sector needs, curriculum development, workplace AI projects and the CRAFT toolkit.
- Support the project team in evaluating the impact of the new curriculum and CRAFT toolkit by collating relevant quantitative and qualitative evidence.
- Maintain records of employer engagement, workshops, feedback, project activities and agreed performance indicators to support project monitoring and reporting.
- Develop and coordinate appropriate communications and engagement activities, exercising initiative in identifying innovative channels and approaches that strengthen employer participation and project visibility.
- Contribute to project updates, reports and dissemination materials by collating information from the academic team, employer partners and other project partners in the wider network.
- Coordinate the day-to-day administration of the project under the direction of the Project Lead, maintaining key project records and monitoring agreed actions and milestones.
- Identify emerging engagement or delivery issues and bring these to the attention of the Project Team.
- Undertake other duties appropriate to the grade and nature of the role, as agreed with the Project Lead.
Education, Qualifications and Experience
Essential Criteria
- A degree in business, project management or another relevant discipline, or equivalent relevant professional experience.
- Experience of coordinating projects, meetings, events or stakeholder-engagement activities.
- Experience of working effectively with external stakeholders, such as employers, industry partners or professional organisations.
- Strong organisational and time-management skills, with the ability to coordinate multiple activities and meet agreed deadlines.
- Excellent written and verbal communication skills, including the ability to prepare agendas, minutes, short reports and stakeholder communications.
- Ability to gather, organise and summarise qualitative and quantitative information, including stakeholder feedback.
- Ability to work independently, use initiative and develop appropriate approaches to stakeholder communication and engagement.
- Strong interpersonal skills and the ability to build effective working relationships across different teams and organisations.
- Good digital skills, including competence in Microsoft Office, Teams and other relevant communication or collaboration platforms.
Desirable Criteria
- Experience of working in higher education, professional education, apprenticeships or work-based learning.
- Experience of engaging with employers in the construction, built-environment or related sectors.
- Experience of supporting monitoring, evaluation or impact-assessment activities.
- Experience of contributing to an externally funded project or working with project partners.
- An interest in artificial intelligence, digital construction, and skills or workforce development.
