Residential Property Paralegal

We are seeking an organised and detail-focused Residential Property Paralegal to join an established residential property team within a multi-practice area firm specialising in property and private client. This role offers the opportunity to support solicitors, licensed conveyancers and legal executives with a varied caseload of residential conveyancing matters while developing strong practical experience within a busy legal environment.

The successful candidate will assist with the progression of freehold and leasehold transactions, remortgages, transfers, new-build matters and other residential property work. They will provide efficient administrative, legal and client support while maintaining high standards of accuracy, service, confidentiality and compliance.

Key responsibilities:

  • Assist fee earners with the conduct and progression of residential property transactions from initial instruction through to exchange, completion and post-completion.

  • Open and maintain accurate electronic and paper matter files, ensuring client identification, source-of-funds information and other required documentation are obtained and recorded.

  • Prepare and review standard conveyancing documents, including contract papers, property information forms, fittings and contents forms, reports, completion statements and Land Registry documentation.

  • Order and review property searches, raise and respond to enquiries and assist with the preparation of replies and reports on title under appropriate supervision.

  • Communicate professionally with clients, estate agents, lenders, mortgage brokers, managing agents, developers, local authorities and other solicitors throughout the transaction.

  • Assist with exchange and completion arrangements, including checking funds, preparing completion statements, arranging undertakings and ensuring completion requirements are met within required timescales.

  • Support post-completion work, including SDLT returns, registration applications, requisitions, title updates, file reviews and the return of deeds and documents.

  • Maintain accurate case management records, diaries and transaction trackers, monitoring key dates and escalating delays, risks or issues to the supervising fee earner.

  • Assist with billing, disbursements, payments and other financial administration in accordance with firm procedures and regulatory requirements.

  • Provide a responsive and client-focused service, handling routine queries appropriately and referring complex legal or technical matters for further guidance.

  • Comply with the SRA Standards and Regulations, anti-money laundering requirements, data protection obligations, risk management procedures and the firm’s internal policies.

  • Work collaboratively with colleagues across the residential property team and contribute to the efficient delivery and continuous improvement of conveyancing services.

Key skills and experience:

  • Previous experience as a residential property paralegal, conveyancing assistant or legal assistant within a solicitors’ firm or comparable legal practice.

  • Good understanding of residential conveyancing procedures, including freehold and leasehold transactions, sales, purchases, remortgages and transfers.

  • Knowledge of property searches, contract documentation, enquiries, exchange, completion, SDLT and Land Registry requirements.

  • Experience using legal case management systems and Microsoft Office, with the ability to maintain accurate electronic records.

  • Strong administrative, organisational and time management skills, with excellent attention to detail and the ability to manage competing deadlines.

  • Clear, professional and client-focused communication skills, with the ability to liaise effectively with clients and professional contacts.
