E-Commerce Operations Executive

Kai Collective's Shopify store is our most important sales channel - and we're looking for someone to own it.

The E-Commerce Operations Executive will be the engine behind our online store - responsible for product listing integrity, site accuracy, digital operations, and the smooth execution of launches and promotions.

The E-Commerce Operations Executive will work closely with the Head of Operations, the marketing team, and the product team to ensure the customer experience on site is always accurate, on-brand, and conversion-ready.

This is a London-based hybrid role, primarily worked Monday to Friday.  Planned flexibility may be required for major launches and promotions.  Any evening or weekend work will be agreed in advance and managed through Kai’s applicable time-off or pay arrangements. 

Core Responsibilities of the E-Commerce Operations Executive

Shopify & Product Management:

• Own day-to-day Shopify administration - product uploads, variant management, pricing updates, and collections.
• Maintain the integrity of all product listings: titles, descriptions, images, SEO fields, barcodes, SKUs, and stock status.
• Ensure product option formatting is consistent across all listings (Size as Option 1, correct variant logic).
• Manage the product data lifecycle - from new listing setup through to archiving discontinued items cleanly.
• Conduct regular product audits and maintain a live tracker of listing accuracy, flagging and resolving issues systematically.
• Lead ongoing SKU and barcode data hygiene - identifying and cleaning invalid entries, working with fulfilment platforms to maintain data integrity.

Website Operations & Customer Journey:

• Monitor the operational health and accuracy of the customer-facing website 
• Conduct regular front-end website audits - navigation, product pages, checkout flow, mobile experience, and broken links.
• Publish and Maintain customer-facing policies (shipping, returns, FAQs) working with operations and CX to confirm accuracy .
• Monitor and identify site errors or degraded experiences, resolving routine issues and escalating technical, commercial or reputational risks Configure, test and verify  promotions, discount codes, and sale mechanics ahead of launch.
• Act as the operational bridge between what the site shows and what the warehouse holds.
• Maintain an issue log with a named owner, next action and due date for unresolved website matters 

Launches, Campaigns & Cross-Team Collaboration:

• Coordinate the digital-operational elements of launches and promotions. 
• Maintain the digital launch checklist and confirm that listings, imagery, descriptions, variants, prices inventory feed and promotional mechanics are ready by the agreed deadline
• Collaborate with the marketing team to align digital content, product availability, and promotional mechanics.
• Work with the product team to resolve  listing-quality issues, missing information, or variant inconsistencies identified through audits.
• Escalate incomplete or high-risk launch requirements before go-live; final launch approval remains with the designated senior decision-maker. #
• Process the Shopify and order-record elements of approved gifting and press-loan activity;  - including Order tracking and transfers.

Reporting & Process Improvement:

• Track and report on e-commerce performance, surfacing data-led insights that drive better decisions across product, marketing, and operations.
• Monitor e-commerce performance metrics - traffic, conversion, product-level performance, and returns rates.
• Prepare regular reporting  for the Head of Operations and wider team highlighting trends, anomalies and areas requiring further investigation
• Partner with Marketing, Product, Customer Experience and Operations to understand low causes of low conversion, high returns and recurring site issues.
• Identify patterns in returns, low-conversion products, or site issues and bring data-led recommendations.
• Maintain SOPs for new product uploads, website audits, promotional setup, launch checks and data hygiene.
• Maintain an audit trail for material changes and promptly escalate suspected data, payment, privacy or security incidents. 

What Kai Collective is looking for:

• Strong and confident working knowledge of Shopify - comfortable across product, order, and customer admin at pace.
• Detail-obsessed approach to product data - you notice when a barcode is wrong, a variant is missing, or an image doesn't match.
• Solid understanding of e-commerce product data: SKUs, barcodes, variants, metafields, and SEO basics.
• Proficient with Google Sheets and Drive - able to build and manage audit trackers and reporting templates.
• Comfortable working across tools - Shopify, Google Suite, and potentially Klaviyo, analytics, or content platforms.
• Genuinely passionate about e-commerce and the customer-facing digital experience.
• A meticulous self-starter who holds a high bar for accuracy and takes full ownership of getting it right.
• Collaborative and communicative - able to work across teams to get what you need without friction.
• Full right to work in the UK.
• Familiarity with fulfilment platforms (Mintsoft / Extensiv) and how product data flows between Shopify and a 3PL is a plus.
• Experience in fashion, lifestyle, or DTC e-commerce is a plus.
