Admin/Facilities Manager

The Administration/Facilities Manager will provide and maintain an efficient administrative management service for Aisling Centre team and provide building facility management. The role includes the organisation and co-ordination of office systems and procedures, overseeing day-to day facilitates operations, and utilising leadership and team working skills to maintain a pleasant work environment while ensuring high levels of organisational effectiveness and accountability.
Responsibilities
- Act as liaison officer between Aisling Centre and their IT management company.
- Develop a working knowledge of the roles of Finance Administrator, Receptionist and Appointments Secretary.
- Work with the Service Director and Finance Administrator to maintain financial management systems ensuring accurate and timely reporting to facilitate funder returns and monthly management information.
- Manage Reception, organising rotas and ensuring highest level of client service.
- Oversee Room hire, licensing agreements and liaising with tenants.
- Set up facilities for external and internal meetings (this will include lifting and carrying tables, chairs etc).
- Organise and supervise upkeep of building - cleaning, preventative maintenance, servicing of equipment, minor works/renovations.
Skills and Qualifications
Essential Skills
- A qualification in Health and Safety and 5 GCSE (or equivalent) to include English Language (minimum grade ‘C’ or equivalent) and 3 years’ full-time equivalent experience managing a busy demanding office environment OR
- A 3rd Level qualification in business studies, administration management or equivalent plus GCSE Maths and English (minimum grade ‘C’ or equivalent) and at least 5 years’ full-time equivalent experience working within a busy office environment.
