Your new company Join the Northern Ireland Assembly and take the lead on facilities management projects within the iconic Parliament Buildings at Stormont. Your new role This is an initial 6-month contract with the possibility of further extension where you will report to the Head of Facilities Management and have the responsibility for the effective delivery of facilities and building-related projects. The main duties and responsibilities are: Delivering high quality facilities and project management services to a wide range of internal and external stakeholders by developing a strong customer focused approach within your team. Assisting with the development, management and monitoring of the policies and procedures of the business area. Managing the delivery of multiple facilities related projects simultaneously, ensuring adherence to agreed scope, programme, budget and quality requirements. Undertaking financial planning, profiling and forecasting for projects ensuring robust cost control and accurate financial reporting. Providing timely and accurate financial and performance information, analysis and recommendations to support decision-making. Assisting in the preparation, management and monitoring of budgets, ensuring expenditure is controlled and aligned with approved business plans. Supporting the development of business cases, project briefs and specifications, including financial appraisals, options analysis, and whole life cost assessments. Supporting procurement exercises, including assisting in the development of procurement documentation and participating in evaluation panels. Managing projects through relevant systems, ensuring works are prioritised, tracked, and completed efficiently. Assisting with the management of contracts to ensure full compliance with contractual terms, relevant legislation and financial controls, delivering value for money and addressing performance issues promptly. Checking and approving purchase orders and invoices in line with organisational policy and the post holder's approval limits. Developing and maintaining effective working relationships with members, colleagues, contractors, external stakeholders, and service users. Attending, participating in and managing meetings, ensuring accurate records are maintained and actions are progressed. Leading, managing and developing individual staff members or a small team, setting clear objectives and monitoring performance to ensure the delivery of team objectives. Supporting more senior staff in the effective management of the Business area. Quality assuring work to ensure compliance with legislation, policies, procedures, and financial controls. Participating and contributing to corporate and Directorate wide projects and improvement initiatives. Effectively using Microsoft Office and relevant systems to carry out work including the production of reports, financial information, and management data. Managing information and records in accordance with statutory requirements and organisational policies, including responses to information requests. Complying with all Assembly Commission staff policies and procedures, including Equal Opportunities and Dignity at Work. Carrying out other duties that the Assembly Commission reasonably requires. What you'll need to succeed To be eligible for this role, you will either have a degree and 3 years of experience in the following: Managing projects or work programmes, ensuring delivery to agreed timescales, budgets and quality standards. Managing and monitoring budgets, including analysing financial information and providing accurate reports and forecasts. Analysing information from a range of sources to produce high quality written reports, business cases, or briefing materials to support and inform effective decision making. Planning and organising a diverse workload, delivering high quality work to tight deadlines in line with organisational policies and procedures. Developing and maintaining effective working relationships with a wide range of stakeholders, including managers, colleagues, contractors, and external partners to ensure a high quality service and achieve tight deadlines. OR have 5 years' experience in each of the above areas.
