Our company is looking for a Part Time Administrator to join our team.

Responsibilities:

  • Data entry;
  • Ensure all filing and data is up to date;
  • the timely receiving and distribution of all incoming mail, and preparation of all mail and packages for collection by couriers and mail partners;
  • Act as the first point of contact for customers and visitors – both in person and on the telephone;
  • Responding to queries regarding quotes and prices;
  • Working closely with Senior Management and External Stakeholders;
  • Acting as the first point of contact with clients and customers;
  • To support the scenarios coordinator in the maintenance of the scenarios database and meeting departmental objectives;
  • Arrange travel and complete expenses for those delegated to;
  • Assisting with ad hoc administrative duties;
  • preparing marketing materials;
  • Liaising with suppliers to address issues;
  • Vehicle management;
  • Maintaining accurate information including data entry;
  • Using the in-house CRM system for planning and dispatch tasks, ensuring that engineers have a full diary and busy work load.

Requirements:

  • Sending out information packs and samples;
  • Able to work on own initiative;
  • Accurate typing skills are essential;
  • Happy to re-organise stock when necessary and deal with stock arrivals;
  • Confident in up selling products;
  • Ability to work under pressure and be able to multitask;
  • Excellent organisational skills;
  • Ability to use initiative essential proactive approach;
  • Excellent IT skills using all Microsoft applications including Excel, PowerPoint, Publisher and Word;
  • Experience in office administration (desirable not essential);
  • Strong communication skills, both verbal and written with a good telephone manner;
  • Have strong Microsoft Word and Excel skills;
  • Customer Service skills and experience working in a sales environment / Commercial environment;
  • An interest in health promotion and community-based projects;
  • As first point of contact you must have fantastic customer service skills (face to face and over the phone).
