Our company is looking for a Finance Admin Assistant to join our team.

Responsibilities:

  • Scanning invoices that arrive by post;
  • Monitoring the shared finance inbox;
  • Investigating any anomalies internally;
  • process;
  • Processing and resolving supplier invoice queries;
  • Printing off and saving down invoices arriving by email;
  • Credit cards – Processing credit card transactions on Xero;
  • Purchasing – Making purchases (e.g. stationery, IT Equipment);
  • Travel & accommodation requests – Booking travel and accommodation;
  • Reception – Covering the London reception as and when required;
  • Invoicing – Raising & paying invoices; chasing payments; liaising with clients and PMs & CPs;
  • Petty cash – Processing petty cash purchases on Xero;
  • Timesheets – Processing internal timesheets for monthly reports & invoicing;
  • Monthly reporting – Creating monthly project dashboards and absence reports;
  • Employees Expenses – Processing employees expenses on Xero.

Requirements:

  • Knowledge of sage 50;
  • Knowledge of invoice/clock card systems;
  • Excellent telephone manner;
  • Purchase ledger experience;
  • Autonomous – Organised and efficient, able to prioritise and balance own workload;
  • Calm under pressure – Comfortable working in a fast-paced environment, and able to remain patient and calm even when working under pressure;
  • Numerate – Able to understand and work with numbers;
  • Flexible – Flexible and adaptable to changing deadlines and requirements;
  • Detail-oriented – Excellent eye for detail;
  • Teamwork – Able to work as part of a team, and to liaise with people from all levels of the organisation;
  • Organised – Able to follow processes and keep things organised, when dealing with deadlines and processes at the same time;
  • Computer literate – Proficient in using Microsoft Office , Excel & Google Apps;
  • Communication – Excellent communication skills in writing and orally; able to communicate clearly and effectively.
