PA to Directors Job Description Template
Our company is looking for a PA to Directors to join our team.
Responsibilities:
- Creating board packs;
- Updating presentations to include charts and figures – collating figures to update presentations;
- Expenses;
- Diary Management for both Directors and CFO;
- Taking meeting notes, preparing letters and keeping records up to date;
- Monitoring e-mails, and prioritising urgent information;
- Collating monthly and weekly reports;
- Manage and diarise relevant activities between the Directors, employees across the firm and external suppliers/clients;
- Identify and document key departmental processes;
- Managing and monitoring absence/holidays;
- Assist with documentation including PowerPoints, PDFs, Excel files, organisational charts, formal letters, and management packs;
- Diary management for 3 Directors;
- Event management – sourcing venues, catering, entertainment and logistics for multiple large events;
- Organise travel, room bookings and event attendance for the Directors;
- Planning travel for Directors.
Requirements:
- Outstanding organisational skills;
- Ability and willingness to take decisions, even in uncertain circumstances;
- The ability to communicate effectively with senior Directors and high-level clients;
- Ability to operate in a cross-functional team;
- Ability to show discretion when communicating sensitive and confidential information;
- Flexible approach to hours of work to meet business needs;
- Articulate with impeccable written English;
- High degree of organisational ability and attention to detail;
- Educated to at least A Level standard or equivalent;
- IT proficient in Microsoft office packages and video and telecommunications proficiency for meetings;
- Prior experience working in a property background would be a major advantage;
- Previous experience providing support at Director level;
- Typing level 3 or equivalent (55 wpm);
- Excellent written and oral communication skills;
- Self-starter, able to work unsupervised and on own initiative with the ability to multi-task.
