Our company is looking for a Private Client Legal Secretary to join our team.

Responsibilities:

  • Prepare mail and enclosures for dispatch;
  • Opening, closing and retrieval of client files;
  • Make appointments, arrange meetings and to maintain an up to date diary;
  • Carry out additional tasks as and when required;
  • Support the billing process e.g. ensuring that the bill is sent within agreed time and answering simple client queries;
  • Organise travel arrangements;
  • Schedule forward meetings, appointments, diary notes;
  • Ensure all papers are ready for the lawyer at the beginning of the day;
  • Keep the lawyer’s diary up to date using Outlook;
  • Ensure the names of clients are known and the job holder is established as the point of contact in lawyer’s absence and on a day to day basis;
  • Draft and send faxes and correspondence;
  • Prepare correspondence and documents and administer filing;
  • Arrange internal and external meetings, liaising with reception;
  • Payment of Counsel fees;
  • Undertake photocopying/scanning.

Requirements:

  • Accurate and numerate;
  • Communicate effectively with others, both verbally and in writing;
  • Proven ability to manage time, meet deadlines and prioritise;
  • Computer skills – good working knowledge of MS office;
  • Good accurate typing skills;
  • Previous experience as a Private Client Legal Secretary;
  • Previous experience as a Legal Secretary is essential;
  • Good standard of typing skills;
  • Previous experience as a Private Client Secretary is desirable;
  • Previous experience as a Private Client Secretary;
  • Experience of a case management system.
