Our company is looking for a Team Assistant – PA to join our team.

Responsibilities:

  • Typing of correspondance;
  • Assist with administrative matters and document management;
  • Prepare correspondence, reports and deal directly with routine matters;
  • Filing documentation; paper and electronic Answering the telephone in a polite and professional manner;
  • Good organisational and time management skills with the ability to prioritise workload and multi-task;
  • Preparation of presentations and other materials for meetings;
  • Organising international travel, including visas and management of out of office requirements;
  • Organising lunches for meetings;
  • Composing/typing general correspondence/emails;
  • Screening, responding to and redirecting mail, as appropriate;
  • Taking minutes at group meetings and circulating to relevant people. Preparing and submitting monthly expense claims;
  • PA support to a team of directors;
  • Diary management for VP and Senior Team – assessing competing priorities and anticipating requirements; filtering and prioritising;
  • Organisation and administration of local meetings & visitors – coordinating all logistics i.e. attendees, timings, equipment and rooms;
  • Extensive Diary management.

Requirements:

  • Attention to detail is ESSENTIAL;
  • The applicant must be pro-active and be able to juggle workload. This role requires the individual to be flexible and agile;
  • Office based, some flexibility required over peak periods;
  • The applicant must be able to work on own initiative with minimum supervision;
  • Candidates must have strong interpersonal skills;
  • Solid IT skills are required, particularly Word, Excel and PowerPoint. Accuracy, speed, proactivity and an ability to ‘get things done’ are vital.
