Trainee Office Assistant Job Description Template
Our company is looking for a Trainee Office Assistant to join our team.
Responsibilities:
- Answering telephone calls dealing with queries;
- General administration duties;
- Learning the rota system and being able (long term) to provide support to our current coordinator;
- Printing Webinar notes;
- Reconciling online postal account;
- Monitoring and ordering water supplies;
- Ordering stationery;
- Assisting with office/furniture moves;
- Assisting with the set up on Webinars and video Conferencing;
- Post and accounts collections;
- Ensuring printer and photocopiers are replenished daily;
- Assisting with afternoon banking of incoming cheques;
- Assisting with opening of post and date stamping and delivering to team members;
- Document management which includes; photocopying, scanning, binding and PDF printing;
- Liaising with the IT department regarding any technical issues.
Requirements:
- Must have own transport;
- Eventually will be required to take the ‘on call’ phone (paid shift premium);
- Willing to learn, ambitious and ‘can do’ attitude;
- Enjoy working in teams;
- It would be beneficial if you have any admin experience;
- Excellent communication skills;
- Basic computer literacy with Word, Excel and Outlook;
- Able to work to deadlines;
- GCSEs or equivalent A-C or 6-9 grades;
- Confident, polite and calm.
