It’s hard to overestimate the worth of work experience when looking for new job opportunities – it’s an asset that employers tend to value a lot. One can describe their work history in their CV or cover letter, however, an employee might want to have confirmation of those words. How to do it? Provide an experience letter!

What is an Experience Letter?

First and foremost, an employee cannot create a work experience letter on their own. Since the letter certifies association with a specific company, this is an official document that must be issued by the employer. It serves as proof of employment, position, and acquired skills, as well as provides an overall performance review.

It’s usually the HR who is accountable for creating an experience letter. They normally check in with the reporting manager and collect all the necessary information about the outgoing employee. However, it’s also possible that the manager themselves or even a senior member of your team writes it.

Why are Experience Letters Important?

There are several reasons why it’s worth requesting an experience letter from your former employer:

Structure, References, and Contact Details

These elements are a must in a professional experience letter:

  • The company’s letterhead with its logo, name, address, and contact details (for instance, phone number, email address, and website URL) makes the letter look official and authorised).
  • The date of issue with an exact date of issuance of the experienced letter is typically when the employee left the organisation.
  • All the relevant details about the employee, including their designation, job title, core responsibilities, hard and soft skills, and the period they were employed.
  • Feedback from the manager regarding the employee’s behaviour and contributions.

Dos and Don’ts

Here are some more practical recommendations for those who deal with writing experience letters.

Dos:

  1. Be factual and accurate when providing information about the employee;
  2. Use professional language and maintain a professional tone throughout the document;
  3. Make it well-structured and readable;
  4. Proofread several times;

Companies don’t usually provide an experience letter by default, the employee has to request it. If you’ve never dealt with it before, there are some tips to facilitate the task for you.

It’s a good idea to create a record of your request by sending it via e-mail, printing it out, or writing it by hand. It’s important to keep a copy of it. Of course, you should stick to a polite and professional tone throughout the document. Here are some key elements that you can consider including in your request for an experience letter:

  1. Express gratitude for the opportunity to be part of the organisation;
  2. Communicate the importance of receiving a professional experience letter;
  3. Include information regarding your achievements or contributions you would like to emphasise in the letter;
