Helpdesk Administrator – Facilities Management Location: Loanhead, Edinburgh Salary: Up to £30,000 DOE Job Type: Permanent, Full-Time Working Pattern: Office Based We are currently recruiting for an experienced Helpdesk Administrator to join a leading Facilities Management provider based at their office in Loanhead, Edinburgh. This is a busy and varied role supporting the delivery of maintenance services across a portfolio of client contracts. You will act as a key point of contact between clients, engineers and the wider operations team, ensuring planned and reactive works are coordinated efficiently from initial call through to completion. The Role

• Managing incoming calls, emails and maintenance requests
• Logging reactive jobs accurately onto the CAFM system
• Coordinating and allocating jobs to mobile engineers
• Scheduling planned and reactive maintenance works
• Monitoring jobs from initial request through to completion
• Liaising with engineers regarding workloads, job progress and updates
• Keeping clients informed and providing excellent customer service
• Updating the CAFM system with accurate job information
• Monitoring SLAs and ensuring jobs are completed within agreed timescales
• Raising and processing relevant job paperwork
• Supporting the wider contracts and operations teams with general administration
• Handling queries and escalating urgent issues where required

• Confident coordinating engineers and maintenance works
• Comfortable working within a fast-paced helpdesk environment
• Experienced using CAFM systems or similar job management software
• Highly organised with strong attention to detail
• Confident communicating with clients and engineers
• Comfortable managing multiple jobs and priorities at once
• Competent with Microsoft Office, including Outlook and Excel

• Salary up to £30,000 DOE
• Permanent, full-time position
• Monday–Friday
