Talent Administrator
Role Overview
- Support the Talent Acquisition team with recruitment and administration activities.
- Coordinate the attraction, sourcing and hiring of high-quality candidates.
- Deliver an excellent experience for candidates throughout the recruitment process.
- Provide administrative support across the full recruitment lifecycle.
- Assist with employer branding and talent attraction initiatives.
Candidate Attraction & Sourcing
- Source candidates through LinkedIn and social media platforms.
- Utilise employee referral programmes.
- Search internal candidate databases.
- Engage with external recruitment agencies and suppliers.
- Build and maintain candidate talent pools.
- Support recruitment advertising campaigns.
- Identify talent for current and future hiring needs.
- Promote the organisation as an employer of choice.
- Maintain regular communication with prospective candidates.
Candidate Management
- Ensure a positive candidate experience from application to onboarding.
- Respond to candidate enquiries promptly.
- Schedule interviews and assessment activities.
- Send interview invitations and confirmations.
- Coordinate interview logistics with hiring managers.
- Ensure candidates receive relevant interview information.
- Monitor candidate progress through the recruitment process.
- Gather and record interview feedback.
Stakeholder & Supplier Management
- Develop strong relationships with hiring managers.
- Liaise with internal stakeholders across different business areas.
- Manage relationships with recruitment agencies and suppliers.
- Work with diversity recruitment partners.
- Act as a key contact for recruitment-related queries.
- Support recruitment projects and initiatives.
- Build effective working relationships across the business.
Recruitment Administration
- Manage shared recruitment mailboxes.
- Respond to or redirect incoming enquiries.
- Keep recruitment records accurate and up to date.
- Maintain candidate and vacancy information.
- Prepare recruitment documentation.
- File and store employee records appropriately.
- Ensure all onboarding paperwork is completed.
- Maintain recruitment policies and procedures.
- Update process guides and recruitment documentation.
Onboarding & Compliance
- Monitor pre-employment screening checks.
- Track background checks and references.
- Ensure onboarding requirements are completed before start dates.
- Support new starter administration.
- Maintain compliance with company procedures.
- Ensure accurate documentation is available for audits.
Finance & Vendor Support
- Process recruitment invoices.
- Raise purchase orders.
- Support supplier onboarding and vendor set-up.
- Track recruitment-related expenditure.
- Assist with invoice queries where required.
Reporting & Systems
- Maintain recruitment trackers and spreadsheets.
- Update recruitment activity reports.
- Generate reports using Workday.
- Monitor recruitment metrics and KPIs.
- Collate Talent Acquisition survey responses.
- Produce recruitment data for stakeholders.
- Support reporting and workforce planning activities.
Skills & Experience
- Previous administration, HR or recruitment experience.
- Strong organisational and planning skills.
- Excellent attention to detail.
- Confident working in a fast-paced environment.
- Strong stakeholder management skills.
- Effective verbal and written communication skills.
- Experience using Workday.
- Strong Microsoft Office skills, including:
