Payroll Coordinator Newcastle / Hybrid Full Time, 37.5hrs £30,000 The opportunity
We are looking for a Payroll Coordinator to join Cora Health and support the accurate, timely and compliant delivery of payroll across our organisation. Working closely with the Payroll Manager, People colleagues and Finance, you will help process payroll inputs, support pension administration, maintain high-quality payroll data and respond to colleague queries with clarity and care.
This is a hands-on, detail-led payroll role for someone who enjoys accuracy, deadlines and problem-solving. You will support the monthly payroll cycle across starters, leavers, contractual changes, absence, overtime, expenses, statutory payments, deductions and pensions. Experience of iTrent would be a real advantage, but more important is strong UK payroll administration experience, confidence with systems and a careful approach to sensitive data.
What you will do
- Support the monthly payroll cycle, making sure inputs are complete, accurate, authorised and processed in line with agreed deadlines.
- Process starter, leaver, contractual change, salary, hours, overtime, expenses, allowance, deduction and absence information accurately within payroll systems.
- Calculate and process routine payroll adjustments, including unpaid leave, sick pay adjustments, arrears, back pay, overtime, expenses and overpayment recoveries.
- Process statutory payments and deductions, including SSP, SMP, SPP, ShPP, SAP, PAYE, National Insurance, student loans, court orders and other authorised deductions.
- Prepare, input, upload and validate payroll data, checking exception reports and resolving discrepancies before payroll is finalised.
- Use iTrent and associated People/payroll systems to maintain records, run reports and support payroll processing activities.
- Support administration of NHS Pension Scheme and company pension arrangements, including enrolments, opt-outs, changes, leavers and monthly submissions.
- Prepare and reconcile pension, benefits and third-party deduction data, investigating and resolving discrepancies with providers and internal teams.
- Support payroll compliance, reconciliations, year-end checks and reporting for Payroll, People and Finance stakeholders.
- Respond to routine payroll queries from colleagues and managers, explaining payslips, deductions, pension contributions and statutory payments clearly and professionally.
What we are looking for
You will be an organised, accurate and service-minded payroll professional who can work confidently with deadlines, confidential information and detailed payroll data. You will be comfortable checking your own work, spotting discrepancies and escalating issues early where there is risk or uncertainty.
Essential experience and capability
- Experience in a UK payroll administration, payroll assistant, payroll officer or payroll coordinator role.
- Experience processing payroll changes such as starters, leavers, contractual changes, salary changes, overtime, expenses, absence and deductions.
- Working knowledge of UK payroll processes and core legislation, including PAYE, National Insurance, Real Time Information and statutory payments.
- Understanding of workplace pensions, automatic enrolment principles and common payroll deductions.
- Strong attention to detail, numeracy and accuracy when entering, checking and reconciling payroll data.
- Good Excel skills, including filters, formulas and data comparison, with willingness to develop further.
- Experience working to payroll calendars, cut-off dates and monthly deadlines.
- Confidence handling payroll queries and providing a professional, helpful service to colleagues and managers.
- Good judgement when working with sensitive colleague information, audit trails, confidentiality and data protection requirements.
Experience that would be particularly valuable
- Experience processing payroll in iTrent, including payroll routines, reports, imports/exports or payroll controls.
- Experience administering NHS Pensions and/or company pension schemes.
- Experience working in healthcare, NHS-partnered services, regulated, multi-site or high-volume payroll environments.
- Experience working across multiple employing entities, payrolls, terms and conditions or pay groups.
- Experience supporting payroll year-end activity, audit requests, payroll journals, reconciliations or management reporting.
- A CIPP qualification, Payroll Technician Certificate, Level 3 Payroll Administrator apprenticeship, or willingness to work towards a recognised payroll qualification.
