Responsibilities:

  • Screening and handling all incoming telephone calls in a responsive and timely manner;
  • Intensive schedule and diary management, including complex travel arrangement planning;
  • Managing credit cards and reconciling expenses;
  • Preparing meeting correspondence, information and background notes;
  • Compose appropriate responses to letters and deal with general correspondence effectively and professionally;
  • Arranging frequent complex and detailed, domestic and international travel itineraries, including flight and hotel bookings, transfers and visas;
  • Office Management;
  • Manage house seat requests and all industry and personal invitations for President’s office;
  • Producing documents and brief papers;
  • Scheduling meetings and gatekeeping;
  • Ensure all expense returns are completed efficiently;
  • Participate in weekly team meetings;
  • Organising meetings;
  • Work alongside EA to COO on company Christmas card and corporate gift list;
  • Ensure a smooth filtering of information from the President’s office to the relevant staff and vice versa.

Requirements:

  • Have a minimum of 5 years EA experience with 2 supporting at a leadership level in a corporate environment;
  • Have a professional, committed attitude and approach;
  • Excellent standards of spelling and grammar;
  • Excellent secretarial, organisational and problem-solving skills;
  • Fluent in both written and spoken English and French;
  • Proficiency in MS Office;
  • Ability to communicate and coordinate professionally with a diverse range of people;
  • Experience in event planning and interacting with clients;
  • Independent thinker;
  • Outstanding organisational skills.
