Responsibilities:
- Screening and handling all incoming telephone calls in a responsive and timely manner;
- Intensive schedule and diary management, including complex travel arrangement planning;
- Managing credit cards and reconciling expenses;
- Preparing meeting correspondence, information and background notes;
- Compose appropriate responses to letters and deal with general correspondence effectively and professionally;
- Arranging frequent complex and detailed, domestic and international travel itineraries, including flight and hotel bookings, transfers and visas;
- Office Management;
- Manage house seat requests and all industry and personal invitations for President’s office;
- Producing documents and brief papers;
- Scheduling meetings and gatekeeping;
- Ensure all expense returns are completed efficiently;
- Participate in weekly team meetings;
- Organising meetings;
- Work alongside EA to COO on company Christmas card and corporate gift list;
- Ensure a smooth filtering of information from the President’s office to the relevant staff and vice versa.
Requirements:
- Have a minimum of 5 years EA experience with 2 supporting at a leadership level in a corporate environment;
- Have a professional, committed attitude and approach;
- Excellent standards of spelling and grammar;
- Excellent secretarial, organisational and problem-solving skills;
- Fluent in both written and spoken English and French;
- Proficiency in MS Office;
- Ability to communicate and coordinate professionally with a diverse range of people;
- Experience in event planning and interacting with clients;
- Independent thinker;
- Outstanding organisational skills.
