The Role
As an Outpatient Waiting List Administrator, you will plan, organise, prioritise and maintain the day-to-day administrative functions of the Outpatient Waiting List Service. You will ensure patients are processed through the outpatient waiting list according to clinical priority and that all local and national waiting list data is accurately recorded to support performance monitoring and waiting time reporting.
You will be responsible for maintaining the accuracy of outpatient waiting list information and monitoring patients approaching waiting time targets. Working closely with Service Managers and Waiting List Coordinators, you will help ensure waiting list targets are achieved in line with NHS Greater Glasgow and Clyde Waiting List Policy.
This role does not meet the eligibility criteria for a or a NHS Greater Glasgow and Clyde (NHSGGC) is unable to provide candidates or employees with a Certificate of Sponsorship (COS).
Duration, Location, and Working Pattern:
- This is a permanent post working part time hours (22.5)
- You will work these hours Monday Friday , 12.30pm 5.00pm
- Your contractual base will be Glasgow Dental Hospital
Key Responsibilities
You will be responsible for planning, organising, prioritising and maintaining the day-to-day administrative functions of the Outpatient Waiting List Service, ensuring patients are processed through outpatient waiting lists according to clinical priority.
You will maintain the accuracy of waiting list data, monitor patients approaching waiting time targets and work closely with Service Managers and Waiting List Coordinators to ensure waiting time standards are achieved.
You will receive and manage patient referrals, liaise with medical and nursing staff to coordinate patient management and allocate appointments in accordance with NHS Greater Glasgow and Clyde Waiting List Policy.
You will also respond to telephone enquiries from patients and internal and external agencies, maximise clinic capacity, maintain accurate patient records and produce statistical and management reports by extracting, collating and summarising information from relevant databases.
Knowledge, training, qualifications and/or experience required to do the job:
- Three O Grades, Standard Grades or National 5 qualifications (or equivalent), including English, or a good general education supported by previous office experience.
- Previous clerical or administrative experience, preferably within a healthcare setting (desirable).
- Experience of working in a public-facing or customer service environment.
- Proficiency in Microsoft Office applications and other software systems.
- Advanced keyboard and data entry skills.
- Excellent organisational, communication and interpersonal skills.
- The ability to work effectively under pressure whilst managing competing priorities.
