Part Time PA Job Description Template

Our company is looking for a Part Time PA to join our team.

Responsibilities:

  • Logging MD’s time on in house timesheet system;
  • Checking MD’s emails when absent;
  • Administrative duties;
  • Ordering items for branding & gifts for clients;
  • Carrying out background research and presenting findings;
  • Liaising with colleagues and external contacts to book travel and accommodation for the MD and sometimes the rest of the team;
  • devising and maintaining office systems, including data management and filing;
  • Settling debit card payments as requested;
  • Organisation of Team Events;
  • Screening telephone calls, enquiries and requests and handling them when appropriate;
  • Making other personal and business arrangements on behalf of the MD;
  • Checking Events Contractual agreements and negotiating where necessary;
  • Client and supplier lunches to be ordered and prepared;
  • Processing MD’s Expenses;
  • Manage our database of case studies and use set answers on Client documents.

Requirements:

  • Ability to work in a well ordered and methodical manner;
  • Planning and organisational skills;
  • Strong and resilient personality;
  • A strong creative agency background an advantage;
  • Detail orientated;
  • Ability to keep key information confidential;
  • Experience of working in a similar role supporting a Managing Director;
  • Can work effectively both as part of a team and independently.
