Service Administrator Job Description Template
Our company is looking for a Service Administrator to join our team.
Responsibilities:
- Stock administration;
- Processing time sheets and service sheets;
- Checking vehicles in and out;
- Collating payroll in relation to engineers;
- Organising warranty parts that need to be sent back, along with relevant paperwork in a timely fashion (i.e. before the month deadline expires);
- Invoice customers for chargeable call outs;
- Carrying out any reports that we require that are linked to machine faults or the engineers;
- Invoicing;
- Logging and then arranging Cover Group Assist jobs and then invoicing according to the Cover Group pricing;
- General administration duties assisting other departments in the business;
- Update the CRM (SAP);
- Maximising invoiced hours to ensure sold hours targets are achieved;
- Meeting and greeting customers in person and on the telephone;
- Assisting customers with Repairs, Replacements and Maintenance on products;
- Building a great working relationship with colleagues, suppliers and customers.
Requirements:
- A natural problem solver with an outstanding attention to detail in every aspect of work;
- High level of commercial awareness, risk management and customer awareness;
- Adaptable, self-motivated, confident in own ability and possesses a drive for excellence;
- Proven administration experience with requisite IT literacy, particularly in Microsoft Office;
- Be able to work efficiently under pressure;
- Must have previous automotive experience, preferably working within a Main Car Dealership;
- You must have an excellent telephone manner handling all customer enquiries in an efficient and professional manner;
- Must be computer literate.
