Events Co-ordinator Job Description Template
Our company is looking for a Events Co-ordinator to join our team.
Responsibilities:
- Support on additional departmental tasks where required including covering reservations;
- To keep abreast of trade shows, exhibitions, conventions and industry events and advise Director of Sales on suitable attendance and exhibiting;
- Acting at all times as an ambassador of the business so as to ensure optimal guest experience, protect reputation and brand standards;
- To work towards set targets and key KPIs;
- To manage the day to day operation of the Events department – ensuring that all systems and procedures identified in the events audit are completed;
- Processing bookings onto the system accurately and correctly;
- Assisting the sales team to improve relationships within the local community through outreach and other events;
- Dealing promptly with queries from attendees in the lead up to the event;
- Ensuring we have signed terms and condition forms and correct levels of payment;
- Creating robust event plans covering all aspects from set up and audio visual requirements to staffing and catering;
- Displaying a strong knowledge of Burhill and our offerings. This would include client tours to demonstrate how their event will run;
- Liaising with organisers to update and finalise details;
- Creating event forms, which fit the customers’ requirements;
- Managing post-event activity including analysing event survey results and reporting on event KPIs;
- Assisting the sales team when needed to handle enquiries.
Requirements:
- Creative thinking;
- Experience in running networking events, creating content etc;
- Previous experience in running corporate networking events;
- Excellent communication, copywriting and proof-reading skills;
- Knowledge and understanding of our clients;
- Exposure to graphic design software (advantageous);
- Experienced in using MS Office products;
- Able to demonstrate experience delivering a busy events programme to deadline and on budget, with excellent organisational and prioritisation skills;
- Strong communication, organisational and project management skills;
- A strong attention to detail and an ability to manage work to tight deadlines;
- A passion for delivering high quality events with well-developed customer service skills;
- Excellent interpersonal skills and good judgment, with an ability to build rapport with people at all levels of seniority;
- At least two years’ experience in an events co-ordination or administration role.
