Events Coordinator Job Description Template
Our company is looking for a Events Coordinator to join our team.
Responsibilities:
- processing invoices and POs;
- Evaluating event success against objectives and sharing lessons or best practice with the Programme Board;
- Competitively and proactively sourcing tenders for hire and purchasing equipment and material required for events and projects;
- Enhance service delivery through best practice and the effective use of systems and equipment;
- Post event debrief write up;
- Making sure all suppliers are updated at all points during events;
- Perform administrative tasks in support of the account. Support CSM with finance admin RFS, PO’s and FMIS;
- Liaising with clients and building relationships;
- Researching suitable venues to suit clients needs;
- This role involves extensive travel and overnight stays within the UK and in the future perhaps internationally;
- Managing all internal systems to ensure prompt replies to all enquires;
- Booking and management of supplier markets;
- Assisting the sales team when needed to handle enquiries;
- Coordinating third party suppliers (Facilicom, Aramark, Wilson James, Swiss Post);
- To undertake any other duties commensurate with the grade of the post as directed by the Event Manager.
Requirements:
- Previous Events experience;
- True passion for events and teamwork;
- Experience of admin software such as Microsoft Office, Dropbox and Monday.com;
- Excellent communicator with the confidence to work and build effective relationships with all levels of stake holders;
- Excellent customer service;
- Good understanding of health and safety requirements relating to event management;
- Demonstrable experience of organising and delivering business events, including booking venues and speakers;
- Proven track record of delivering events on time and on budget;
- Excellent attention to detail and accuracy;
- Analytical skills and ability to confidently manage spreadsheets and technology;
- Excellent written English;
- Excellent organisational skills and attention to detail;
- Political experience is not essential, but an interest is required;
- Experience of managing event staff;
- Good budget management skills.
