Our company is looking for a Events Coordinator to join our team.

Responsibilities:

  • processing invoices and POs;
  • Evaluating event success against objectives and sharing lessons or best practice with the Programme Board;
  • Competitively and proactively sourcing tenders for hire and purchasing equipment and material required for events and projects;
  • Enhance service delivery through best practice and the effective use of systems and equipment;
  • Post event debrief write up;
  • Making sure all suppliers are updated at all points during events;
  • Perform administrative tasks in support of the account. Support CSM with finance admin RFS, PO’s and FMIS;
  • Liaising with clients and building relationships;
  • Researching suitable venues to suit clients needs;
  • This role involves extensive travel and overnight stays within the UK and in the future perhaps internationally;
  • Managing all internal systems to ensure prompt replies to all enquires;
  • Booking and management of supplier markets;
  • Assisting the sales team when needed to handle enquiries;
  • Coordinating third party suppliers (Facilicom, Aramark, Wilson James, Swiss Post);
  • To undertake any other duties commensurate with the grade of the post as directed by the Event Manager.

Requirements:

  • Previous Events experience;
  • True passion for events and teamwork;
  • Experience of admin software such as Microsoft Office, Dropbox and Monday.com;
  • Excellent communicator with the confidence to work and build effective relationships with all levels of stake holders;
  • Excellent customer service;
  • Good understanding of health and safety requirements relating to event management;
  • Demonstrable experience of organising and delivering business events, including booking venues and speakers;
  • Proven track record of delivering events on time and on budget;
  • Excellent attention to detail and accuracy;
  • Analytical skills and ability to confidently manage spreadsheets and technology;
  • Excellent written English;
  • Excellent organisational skills and attention to detail;
  • Political experience is not essential, but an interest is required;
  • Experience of managing event staff;
  • Good budget management skills.
