Document Controller Job Description Template
Our company is looking for a Document Controller to join our team.
Responsibilities:
- Maintain confidentiality around sensitive information;
- Maintaining internal drawing registers;
- Dealing with telephone enquiries for the Technical team;
- Comply with all aspects of the design management procedures;
- If nominated fulfil role as collaboration tool administrator;
- Maintain up to date record of all information and ensure that it is available to the team;
- Use document management and other management/collaboration tools as necessary to meet project requirements;
- Scanning and uploading hard copy documents;
- Co-ordinating induction on site for all new starters, usually in conjunction with the health and safety team and HR;
- Controlling the sorting, filing and storing of both hard and electronic documents produced by the teams;
- Archive and manager documentation, ensure to adhere to standards and policies;
- Dealing with IT issues for the site team by liaising directly with IT support;
- Maintain a consistent system for archiving document controlled project-related data, both within Newforma and the Archive database;
- Organise on-site visits and schedule training for staff for relevant certificates;
- Managing the in-house document management system.
Requirements:
- Immediately available;
- Communication;
- 3 years’ experience in Documents Control;
- Previous experience in the nuclear industry is an advantage;
- Knowledge of electronic document management systems is desirable (training can be provided);
- Must be an experienced candidate in document control;
- Experienced user of MS Office;
- Ability and willingness to learn our internal processes and systems;
- Must be approachable and capable of quickly establishing and maintaining relationships with stakeholders;
- High School certificate;
- Research and Development;
- Have strong attention to detail;
- Must have previous experience working on site or main office in construction;
- Document management experience in a regulated environment would be advantageous;
- Proven work experience as a Document Controller or similar role.
